How to stamp a document online

  1. Create your stamp. In Settings → Stamps, design a company seal or approval stamp or upload an image. Optionally turn on serialization.
  2. Place it on a document. Open any document in the editor, add a Stamp field, and choose your stamp from the library.
  3. Seal and verify. The stamp is baked into the sealed PDF with a serial number and a QR code linking to its public verification page.

Verifiable, revocable, serialized

A photographed rubber stamp can be copied into any document. Every PDF Verified stamp application mints a unique token at /verify-stamp/:token so recipients can confirm the stamp is genuine, see its serial and document, and check whether it has been revoked.

Stamp a PDF, a Word document or an Excel sheet

A stamp is not only for PDFs. Drop in the .docx a contract was drafted in or the .xlsx a schedule lives in, and it is laid out in your browser exactly as Word or Excel would lay it out, then stamped and sealed. Nothing has to be exported first, and no copy of Office is needed, which is what makes this work on a phone.

Watermarks, which are a different job

A watermark says what the document is rather than who approved it. Add a DRAFT watermark to a Word document or a CONFIDENTIAL watermark to an Excel spreadsheet, on one page or on every page, and it becomes part of the page rather than an object the recipient deletes in two clicks. That is the flaw in the Word watermark button, and the reason Excel has no button at all is why the Excel version of this search exists.

Is a digital company seal legally valid?

In most jurisdictions a contract is valid on signature alone and the seal is evidentiary, but in many markets (Kenya, Nigeria, India, the UAE, China) a company seal or chop is expected on commercial contracts. A PDF Verified digital seal carries the same visual authority plus an audit trail and public verification a physical stamp cannot offer.

How do recipients verify a stamp is genuine?

Every stamp PDF Verified applies mints a unique token at /verify-stamp/:token. Scan the stamp QR code or open the link from the document audit certificate to see the stamp name, serial number, the document it was applied to, and whether it has been revoked.

Can I put serial numbers on my stamps?

Yes. Turn on serialization with an optional prefix (SEAL-, INV-) and every application gets an auto-incrementing serial number, logged and reachable from the stamp public verification page.

Is the stamp maker free?

What PDF Verified is, and what it is not

A stamp identifies who issued a document. It is evidence rather than a formality that makes a document binding on its own, and it should only ever be made and applied for a business or an office you are authorised to act for: a mark that imitates another organisation in order to pass a document off as theirs is forgery in most places. Where a registry, a bank or a counterparty requires a particular form of seal, that requirement comes from them.
