What is Signer?

A party invited to sign a document, identified by name, email or phone, and the role they're signing as.

A signer is anyone — internal team member or external counterparty — invited to add their signature, initials, or other field input to a document. Each signer is identified by a name, an email or phone number, and a role (e.g. Tenant, Landlord, Witness). PDF Verified assigns each signer a unique color in the editor so when you drag a signature field onto the document, it's instantly visible whose field it is.

Roles default to "Signer" but can be customized (Approver, Witness, Counter-signer, CC). PDF Verified assigns colors by signer index — first signer blue, second amber, third green, etc. — and tints every field placed for that signer so the editor is unambiguous.

How signers are notified

PDF Verified offers four channels per signer: email (default, with branded HTML template), WhatsApp (signed link sent via WhatsApp Business API), copy link (the owner shares manually), and access code (a 6-digit OTP shown only to the owner, who relays it to the signer for in-person scenarios).

Removing a signer

A pending signer can be removed at any time. A signer who has already signed cannot be removed — their signature and audit trail entries are preserved. Voiding the envelope is the only way to "undo" a signed signer.
