What is Rubber Stamp?

The classic ink-on-paper stamp — and how to replace it with a digital rubber stamp you can apply to PDFs online.

A rubber stamp is the traditional ink stamp pressed onto paper to mark a document APPROVED, PAID, RECEIVED, or to apply a company seal or date. A digital rubber stamp does the same job on a PDF — you design or upload the stamp once, then apply it to documents online with no printer, ink pad, or scanner. PDF Verified includes a free online stamp maker, and on Business plans every stamp application gets a serial number and a public QR verification link, which an ink stamp can never offer.

How to use a rubber stamp online

Upload your PDF, open the editor, add a Stamp field, and pick your stamp — a custom design, an uploaded image of your existing rubber stamp, or a ready-made APPROVED / PAID / date stamp. The mark is baked into the sealed PDF when the document completes.

In Settings → Stamps you can build a custom stamp in seconds: round or rectangular, your company name, a centre line of text, a date. It mirrors what a stamp shop would engrave — but it is reusable on every document and never runs out of ink.

Why digital beats ink

An ink impression can be photographed and pasted into any document — there is no way to prove which impression is genuine. A PDF Verified stamp mints a serial number and a /verify-stamp QR link on every application, so anyone holding the document can confirm the stamp is real, see what it was applied to, and check it has not been revoked.

Is a rubber stamp legally required?

In most jurisdictions a signature, not a stamp, is what binds a contract — the stamp is evidentiary and cultural. But in Kenya, Nigeria, India, the UAE, China, and much of the Middle East and Asia, a company stamp or chop is still expected on commercial paperwork, and a verifiable digital stamp satisfies that expectation with a stronger audit trail.
