Sign an Excel spreadsheet, or sign off a sheet

A signed spreadsheet is a strange object until you have needed one: a rate card, a bill of quantities, a payment schedule, a stock count somebody has to attest to. Excel has no real signing story, so the usual route is to print the sheet, sign the paper and scan it back in.

Drop your document here and sign it now. PDF, Word and Excel all work: a .docx or .xlsx is laid out in your browser exactly as it was written, so there is nothing to convert first. Add a signature, a date, a company stamp or a watermark, then download it sealed. Free to start, no account, and the file is never uploaded to open it.

No Excel add-in. The .xlsx is laid out using the workbook's own page setup, so what gets signed is the sheet as it would print.

How it works with Microsoft Excel

  1. Drop the .xlsx in Each sheet is paginated with the workbook's own paper size, orientation, margins, column widths, number formats and repeated print titles.
  2. Check the page breaks That is where a printed spreadsheet usually goes wrong, and it is easier to fix before signing than after.
  3. Sign, and stamp if it needs one Place the signature on the page that needs attesting, with a company stamp beside it where the document expects one.
  4. Download it sealed As a PDF, or back as an .xlsx whose sheets are the finished pages, if the file has to stay a workbook.

Questions people ask

How do I sign an Excel file?

Drop the .xlsx in and it is laid out the way Excel would print it, then sign the page that needs signing. Inside Excel your options are a floating image anybody can delete or a certificate-based signature that breaks the moment a cell is edited, which is why neither is common.

How do I insert a digital signature in Excel?

Excel supports certificate-based signatures through Insert, Signature Line, and they invalidate on any edit to the workbook. That is correct behaviour and it is also why people stop using them: a living spreadsheet cannot hold a signature. Signing the printed form of the sheet is the version that works.

How do I add a signature line in Excel?

Insert, Text, Signature Line. It places a placeholder rather than a signature, and filling it in needs a digital ID. If what you want is a signed record of the figures, sign the laid-out sheet instead.

What happens to my formulas?

They are gone from the signed copy, deliberately. What is signed is the values as they stood, which is the point of attesting to a schedule. Keep the .xlsx for the working.

What PDF Verified is, and what it is not

PDF Verified is a tool for preparing, signing, stamping and checking documents. It is not a law firm, a compliance service or a forensic examiner, and nothing here is legal, financial or compliance advice. Requirements differ by country, by document type and by the party asking, so check what applies to your document before you rely on it, and take advice where the document matters. You are responsible for the documents you create, sign and send, and for having the authority to do so: signing or stamping in somebody else name, or as an organisation you do not represent, is forgery whatever tool is used. To the extent the law allows, we accept no liability for how a document made with this tool is used or relied on. The full position is in our terms of service.
