How to Create a Stamp Online for PDF and Word Documents

Make your company stamp or seal now. Round seals, dated stamps and approval marks, with a date that fills itself in and a serial number that never repeats. Free to design, and it goes straight onto a PDF, a Word file or an Excel sheet.

Start from one of these and change the wording, or start from nothing:

The two places people most want a stamp are PDFs and Word documents, and the right technique is different for each. PDFs support real sealing and verification; Word supports a well-placed transparent image. Here is the exact workflow for both, starting from one free online design.

First, design the stamp (same for both)

Open pdfverified.com/stamp-maker. Pick a template, company seal, notary, date stamp, APPROVED, PAID, or start from a blank shape (circle, oval, rectangle, square, and more).

Set your ring text, center lines, color, and border. Add {{DATE}} where the date should appear and {{SERIAL}} for a serial number; drop in a logo or draw a signature directly inside the stamp. The live preview is exactly what you will get, designing is free and needs no account.

Create a stamp online for PDF (the strong option)

From the designer, apply the stamp straight onto your PDF in Quick Sign: upload the file, place the stamp where it belongs, resize, and confirm. The date fills in automatically and the serial locks to this document.

When you download, the PDF is sealed with a SHA-256 fingerprint and carries a QR verification link. Anyone can scan it to confirm the stamp is genuine, see the serial, and check the document has not been altered since stamping. This is the difference between a stamped-looking PDF and a stamped, provable PDF.

Create a stamp online for Word (the compatible option)

Download your design as a transparent PNG. In Word: Insert → Pictures → choose the PNG, then right-click the image → Wrap Text → "In Front of Text" so it floats over your content. Drag it into position, typically over the signature block, and resize from a corner handle so it stays sharp.

Because the PNG background is transparent, the stamp sits cleanly over text and lines instead of arriving in a white box. Use a high-resolution export so it does not pixelate in print.

Why the PDF route is worth it for documents that matter

A stamp in Word is decoration, the file stays fully editable, and the stamp proves nothing. If the document is a contract, certificate, approval, or invoice, finish it as a PDF and stamp it there: the seal becomes tamper-evident and publicly verifiable, and the audit trail records when and where it was applied.

A good habit: draft in Word, then stamp and seal the final PDF. You get Word’s editing and the PDF’s evidential weight.

Costs, formats, and reuse

Designing and previewing are free. A download (transparent PNG) costs $1.50 pay-as-you-go, no subscription required, or comes included with a paid plan. Save the stamp to your library and it is one click to reuse on every future document, with the date always current and each serial unique.

Questions people ask about this

Does it work on Excel too?

Yes. Add a stamp to an Excel spreadsheet the same way as a Word file: the sheet is laid out the way Excel prints it, with column widths, number formats and repeated print titles intact.

Can the stamp include a date that updates?

On the Word download the date is a real field, so it reads today every time the file is opened. Everywhere else it is set at the moment you date stamp a document, which is what you want on a record of when something happened.

What is the difference between a digital company stamp and a picture of one?

A picture can be copied out of any document that carries it. A digital company stamp applied here carries a serial number and a public verification link, so a copy still points at the original document rather than validating a new one.

What PDF Verified is, and what it is not

A stamp identifies who issued a document. It is evidence rather than a formality that makes a document binding on its own, and it should only ever be made and applied for a business or an office you are authorised to act for: a mark that imitates another organisation in order to pass a document off as theirs is forgery in most places. Where a registry, a bank or a counterparty requires a particular form of seal, that requirement comes from them.

PDF Verified is a tool for preparing, signing, stamping and checking documents. It is not a law firm, a compliance service or a forensic examiner, and nothing here is legal, financial or compliance advice. Requirements differ by country, by document type and by the party asking, so check what applies to your document before you rely on it, and take advice where the document matters. You are responsible for the documents you create, sign and send, and for having the authority to do so: signing or stamping in somebody else name, or as an organisation you do not represent, is forgery whatever tool is used. To the extent the law allows, we accept no liability for how a document made with this tool is used or relied on. The full position is in our terms of service.
